On June 30, 2025, I had the pleasure of leading a webinar on Copilot Chat for one of the largest companies in Poland, with over 620 participants. The interest in the topic was tremendous. So, what are my thoughts and experiences with Copilot Chat?

We live in a world where every minute counts, and our inboxes are overflowing. When you’re looking for help writing emails, notes, meeting summaries, or generating visuals — that’s when Microsoft Copilot Chat steps in. Think of it as your assistant — one that, like all of us, sometimes makes mistakes, occasionally misinterprets instructions, or thinks it knows better — but also one that understands context, speaks the language of business, and can write, analyze, translate, and summarize faster than any of us.

🧠 What exactly is Copilot Chat?

Copilot Chat is part of the Microsoft 365 ecosystem, enabling natural language conversations with AI. It can:

  • Generate content (e.g., emails, reports, posts)
  • Analyze data (e.g., in Excel)
  • Summarize documents and meetings
  • Translate and rephrase content
  • Answer questions based on general and organizational knowledge

The business version works when signed in with your work account and differs from the free version by offering:

  • Full data protection
  • Access limited to your organization
  • Ability to work with documents, data, and organizational context

🔐  Security and Sign-In

To use Microsoft Copilot Chat at work:

  • Make sure you see the “Protected” label — this confirms commercial data protection is active:
  • Go to https://copilot.microsoft.com and sign in with your work account.

  • The business version operates in commercial data protection mode, which means:
    • Microsoft does not store your data or use it to train models
    • It complies with your company’s security policies
    • No one else can access your prompt history
  • You can view your own prompt history, but results are visible only during the session
  • Do not paste confidential data (e.g., client info, account numbers, contracts)

✍️ How to write good prompts?

An effective prompt should include:

  • Role and context – who you are and what the task is about
e.g., I work in HR. This is about a new training program…
  • Goal – what you want to achieve
e.g., I want to prepare an email to employees…
  • Format – what form you expect (email, list, table, summary)
e.g., Generate a draft email and 3 subject line suggestions.
  • Style – e.g., formal, concise, creative

✅ Use Case example: internal communication by HR

Here’s a real-world scenario of how an HR employee might use Microsoft Copilot Chat:

🎯 Goal:
Prepare an email to all employees (or a specific department) about a new internal cybersecurity training program.

🧠 Prompt (instruction to Copilot):
I work in HR. Create a draft email to all employees. The purpose is to inform them about a new internal cybersecurity training program. Highlight the benefits for employees (skills development) and for the company (increased security). Suggest three catchy subject lines.

💡 Why it works:

  • The prompt includes context and the user’s role
  • It defines the goal
  • It requests specific output formats (email + subject lines)
  • It avoids sensitive data, ensuring compliance with security policies
